Service Administrator

Great Dwellings, a growing Short-Term Rental Property Management firm, is seeking a Service Administrator to join our Maintenance and Service Team. The following are examples of the responsibilities of the service administrator.

Job Description

Provide administrative support for the Property Management Service Department that maintains and repairs residential short-term rental properties. Perform reporting, scheduling, and regular activities. The Service Administrator serves as the primary interface between the Property Management service department and 3rd parties such as customers, vendors, and Great Dwellings employees. The Service Administrator will report to the head of Great Dwellings’ Maintenance and Service, with a dotted line to others.

The Service Administrator should be creative and enjoy working in a smaller, entrepreneurial but warm environment that is mission and results-driven. Familiarity with short-term rentals or property management is a plus. The ideal individual will be able to exercise good judgment in various situations, with strong organizational, written, and verbal communication skills. Will demonstrate the ability to prioritize multiple tasks and perform efficiently. The Service Administrator will have the ability to work independently on projects.

This is a full-time, work-from-home position. Skills required:

  • Very good verbal and written communication
  • Functional familiarity with MS Word, Excel, Email, and PowerPoint.
  • An aptitude for learning and operating software used by the company
  • Self-driven with a limited need for persistent supervision
  • Results-oriented, with the ability to complete smaller tasks quickly.
  • Ability to balance customer and company needs using best practices.

Location: Preferably Washington, DC Metropolitan Area but not required.

Responsibilities

Metrics and Analysis

  • Collecting and reporting on company Repair and Maintenance income and profit
  • Collecting and reporting on the daily timeliness and efficacy of the company’s maintenance and repair functions

Service Coordination

  • Receiving inbound service requests and assisting the head of Repair and Maintenance in triage, scheduling and tracking of service efforts
  • Taking a role in maintenance scheduling and tracking

Communications

  • Facilitate communication with owners about upcoming, in-process, and post-event maintenance, repairs, waiting parts, approvals, service changes, and maintenance programs (may be sent by another team member).
  • Communicate repair and related events with guests if and as needed. 
  • Coordinate with the remote concierge team, maintenance personnel, and other stakeholders to facilitate corrective actions.
  • Obtaining Vendor quotes.
  • Assist in communicating owner work orders, statements and invoices.

Host Relations

  • Review onboarding form submissions and inspection reports
  • Communicate questions, findings, and actions-items
  • Schedule deep cleans and photoshoots for onboarding properties

Escalations

  • Assist in issue escalations as needed
